Job Requirements:

  • Acknowledge patients with a friendly, compassionate, and energetic greeting.
  • Promptly provide daily phone coverage.
  • Coordinate appointments, schedule and counsel patients seeking care in person or over the telephone.
  • Communicate efficiently between all staff members.
  • Maintain accurate documentation of time and attendance.
  • Answer patient’s questions about services, surgeries and products.
  • Collect payment at the time of the provided service, if necessary.
  • Maintain patient confidentiality and follow HIPAA rules and regulations.
  • May be asked to work at satellite location periodically.

Education and/or Experience:

We are seeking an organized, driven, and detail-oriented Office Manager to oversee and support all daily administrative operations. The ideal candidate will promote a positive environment for both staff members and patients while ensuring the practice runs seamlessly.

Key Responsibilities

  • Administrative Oversight: Oversee and support all administrative duties to ensure the office operates smoothly.
  • Front Desk & Reception: Greet visitors, answer and direct phone calls, receive/sort incoming mail/deliveries, and manage outgoing mail.
  • Inventory Management: Monitor office supplies inventory and place orders as necessary.
  • Team Leadership: Coach and mentor practice staff to ensure top performance and a positive work environment.
  • Operations & Strategy: Develop, implement, and maintain office policies and procedures; identify opportunities for process improvements and design new systems.
  • Financial & Admin Support: Manage the office budget, schedule group meetings, maintain calendars, conduct research, and generate reports as needed.

Qualifications

  • Education: Bachelor’s degree in Business Administration, Communications, Hospitality, or a related field.
  • Experience:
    • 2–5 years of work experience in an administrative or office management role.
    • 2–5 years of customer service experience (healthcare or specialty setting preferred, but not required).
    • Management experience (1 year preferred).
  • Skills:
    • Exceptional attention to detail and strong organizational/time management abilities.
    • Excellent communication, interpersonal, and problem-solving skills.

The Precertification Specialist/Clinical Liaison plays an important role in supporting patients, providers, and clinical staff. This team member helps coordinate communication, assist with patient needs, manage documentation, and support insurance-related processes to help ensure a smooth and positive patient experience.

Job Responsibilities:

  • Answer patient phone calls and direct them to the appropriate provider or department.
  • Assist patients with prescription refills, coordinating with pharmacies and providers.
  • Address patient inquiries regarding treatment plans, appointments, and general dermatology concerns.
  • Act as a liaison between patients and providers, ensuring seamless communication and follow-ups.
  • Maintain accurate patient records and documentation within the electronic medical record system.
  • Coordinate with insurance providers to verify coverage and assist patients with billing inquiries.
  • Provide administrative support to the clinical team as needed.

Job Requirements:
